Use of Website

Please take the time to read these terms and conditions of use carefully before using this site. By using our site, you are agreeing to comply with and be bound by the following Terms and Conditions.  If you do not agree to these terms, you should not use this site. The term “ Tours for Groups” or “us”, “we”, or “our” refers to Tours for Groups Ltd. We reserve the right, at our discretion, to amend, modify, add, and remove portions of these terms at any time. Please check every time you use this site for any changes to these terms. The continual use of the Tours for Groups website means you accept those amendments.

Restrictions of Use

This website is operated by Tours for Groups Ltd. and any material, content, images, may not be reproduced without the prior written consent of Tours for Groups. Downloadable materials and electronic copies of the website, as well as hard copies may be used solely as an educational resource or as marketing material for Tours for Groups.  Any other use of the content within this website is prohibited.

Prices

Prices are based on tours which are described in the itinerary for a given tour and include accommodation, transport, insurance in the amount of £5 per person, and entrance to places of interest as specified. Prices do not include meals and beverages (unless otherwise mentioned), transport to meeting points, additional insurance, entrance to places of interest not specified in programme,  and any additional costs which may be incurred which are not the fault of  Tours for Groups. Please note that prices are subject to a surcharge which may arise beyond the control of Tours for Groups such as, but not limited to, fluctuation in currency exchange rates, increases in petrol prices, UK and foreign government actions, and increases in coach hire due to limitations of driver hours. In the event of a surcharge, Tours for Groups will absorb 3% of the surcharge and the remaining percentage to be paid by the user.

Payments

The tour cost is payable in 3 parts, unless otherwise agreed to by Tours for Groups.  The first payment payable is a deposit in the amount of £50 per person for European Coach Tours and  £20 per person for UK Day Trip Destinations.  Second payment is due 4 weeks later with final payment 30 days prior to departure. Should you wish to travel with your group 10 weeks before departure than payment must be made in made in 2 parts. The deposit in the amount of 40% of total price per person must be paid when booking and final remaining balance no less than 2 weeks before departure.

Cancellations

Once a booking has been made for a tour that includes weekend accommodation, it is not possible to cancel the tour the tour within 7 days of departure. Cancellations from the time of booking until 7 days before departure will incur a 50% cancellation fee. UK and Northern France day trips cannot be cancelled prior to 5 days of departure and will incur a cancellation fee in the amount of 50% from the time of booking.

Payments will be refunded and normally take up to 7 working days.

Amendments and Alterations by User

The user can request changes to their confirmed booking no later than one week prior to departure and must notify Tours for Groups at once. In such an instance a £50 administration charge will be added to the price and must be paid in full during the request of change. This administration charge does not include any entrance to places of interest or activities which may have been amended and these costs will be added to the total tour cost and must also be paid in full during the request of change.

Amendments and Alterations by Tours for Groups

Tour arrangements and details which were quoted to you were given in good faith. Very rarely, we may be forced to make changes and we reserve the right to do so at any time. Most changes are very minor and we will notify you of these changes as quickly as possible.  In the unlikely event that we are forced to significantly alter or change your tour, we will offer a suitable alternative and if we are unable to do so then we will refund 100% of the money paid to us at that time.  Minor changes such as a change of accommodation to a lower classification or standard shall entitle the user to a partial refund for the difference in cost.

Accommodation

All accommodation used by Tours for Groups have been previously inspected and have been deemed suitable for school tours.   Accommodation is based on multiple occupancy (in some cases 2 students sharing a Double Bed). Room upgrades are available at an extra cost and are subject to availability. Hotels may charge at their discretion for use of facilities such as swimming pools, Wi-Fi, sauna, etc.. and are not included in the price of the tour. Some hotels may also require a damage or room key deposit and we will inform you of this during the booking process.

Weekend European and UK tour accommodation is on a bed and breakfast basis only and is included in the price. Half-board and full board provision at the hotel is available for certain tours and is at an additional charge. Should you wish to choose this provision, you will need to inform your travel advisor during booking.

Travel and Excursions

All participants of the tour are required to ensure they have the correct documents for travel to their chosen destinations, including Passport and Visa which are required by some nationalities.

Tours for Groups uses the services of other agents such as ferry companies, coach operators, and hotels and cannot be held responsible for the failure of any of these companies to supply the services required or for any delays resulting in such failure. In the event that any of our suppliers are unable to deliver the services required, Tours for Groups will make every effort to make alternative arrangements so that the trip takes place or continues as per the itinerary.

Optional tours are offered on weekend tours at an extra charge payable during the trip.

Your Conduct

Tours for Groups reserves the right to deny carriage of passengers. Anyone who becomes aggressive, continually disobeys requests from the driver or tour guide, cause or likely to cause danger, distress, or upset any third party or damage to property will risk being removed from the tour.  If you are removed from the tour it will be your responsibility to arrange and pay for your return transport. In such a situation, the person(s) concerned will be required to immediately leave the accommodation, transport, or excursion. We will not bear any further responsibility towards such person nor issue any refunds resulting from their conduct.

Supervision for students under 16 & 17

Tours for Groups does not carry passengers under the age of 16 years of age unless they are accompanied by an adult (over 18) who has been given authority to act as the legal guardian. Parents of passengers under the age of 16 should be given full details about the trip and must sign a consent form before their child can take part in the trip. Parents should also give authorisation to the trip leader for emergency medical treatment. It is also the responsibility of the trip leader to complete a risk assessment form and issue a copy to their school governors, head teacher and local education authority.

Limitation of Liability

We endeavour to place accurate, relevant, and up to date content on this Site at all times. However, Tours for Groups assumes no liability or responsibility for any omissions or errors in the content.

We will not accept responsibility for any personal illness, injury or death which results from the negligent (as the word is defined by English law) acts, or omissions of any supplier working on our behalf within their scope of employment.

We regret  we cannot accept liability or pay any compensation where the execution of our contractual obligations is prevented or affected as a result of ‘Force Majeure’.  This means we or any supplier of a service in question could not, even with all due care, foresee or avoid. Events such as war, civil unrest, actual or threatened terrorist activity, industrial action, natural or nuclear disasters, adverse weather conditions, fire and similar events outside our control are classified as ‘Force Majeure’.

The Tours for Groups website has links to external websites and downloadable resources for teachers and is not responsible for the content displayed on those sites or for the downloadable resources available. These links and resources are solely to be used for guidance purposes only.  Tours for Groups strives to protect the user’s personal information and privacy at all times, however, external links on this site are not under the control of Tours for Groups and therefore, we cannot assume responsibility of these third party websites.

Financial Security

Tours for Groups holds a bond. This bond arrangement means that your coach tour is financially secure and money will be refunded or you will be brought back to the starting destination in the UK if you are abroad as a result of insolvency.

Personal Property

Users personal property is their responsibility at all times unless the damage or loss of this property was a direct result of our negligence.  Lost and found property will be repatriated to individuals giving an accurate description of the items at the time of enquiry. Costs relating to the return of lost property will be borne by the user and Tours for Groups cannot guarantee times of property return but we will endeavour to do so as quickly as possible.

If you are dissatisfied with any part of your tour we want to hear about it. We strive to ensure the highest possible standard of customer satisfaction at all times and that all tours go according to plan and as you expect. Health Requirements and Special Requests

It is the responsibility of the Group Leader to ensure all participants are in good health prior to departing and have all necessary travel and health documents required for their chosen destination. Should any participant of your group need any special health requirements, it is the party organiser’s responsibility to notify us of this during booking or immediately in writing once it has become known to them.

We will endeavour to deal with any special requests relating to health requirements. We cannot guarantee, however, that we will be able to fulfil every request and failure to fulfil such a request will not constitute a breach of contract on the part of Tours for Groups.

If any participant of your group has any medical condition or disability which may affect their own participation or the group’s tour, it is the responsibility of the Party Leader to inform us with full details at the time of booking.  We reserve the right to refuse participation in any tour by any individual who we may deem unhealthy enough to travel or we are unable to accommodate sufficiently enough because of their medical condition.  Should Tours for Groups not be notified prior to departure of any special requirements or existing health conditions which may lead to medical treatment, hospitalisation, or any additional service, all costs relating to this will be borne by the individual or the party organiser.

Passport and Visa Requirements

Tours for Groups organises tours within the European Union and therefore all British Nationals are required to travel to countries outside the UK with a valid passport. It is the party organiser’s responsibility that any non-British national travelling in your group have the necessary visa to enter the country for your chosen destination as well as documentation entitling them to return to the UK. This includes a Schengen visa.

All costs relating to obtaining the necessary visa are to be borne by the participant(s). Tours for Groups will not be held liable if any participant(s) is/are refused entry into any country due to the lack of correct documentation or provide personal data that may be required for border control or security purposes.  Any participant refused entry into any country will be responsible to make suitable arrangements by themselves for their return to the UK.

Miscellaneous

All information shows example itineraries to use as a guideline. Please note that the order we visit various attractions may change depending on the circumstances or time of year. Please follow the advice of your guide and Party Organisers are responsible for their group’s time keeping. Failure to arrive at meeting points at specified times may affect the group’s tour and cause the group to be denied entrance to specific places of interest as a result. Tours for Groups will not be held liable for the group’s poor time keeping which may result in changes the original itinerary.
